The cancellation policy for this family tour is as follows: GENERAL TERMS & CONDITIONS DEFINITION FIT/Individual: 1 to 8 people travelling together Group: 9 and more people travelling together Single travel service: 1 single service booked (i. E. Hotel room OR transfer service) Package tour: 2 and more services booked (i. E. Hotel room AND transfer service) Working days: from Monday at 09:00 to Friday at 17:00 o'clock Estonian time GMT+2 (except Estonian public holidays). Presently all Smart Travel OÜ's offers published in the TourRadar portal are considered as ''Package tour''. RESERVATION Requests for booking can be done at least 15 days prior to arrival from Monday to Friday (except Estonian public holidays) and are subject to availability of the requested services. Special and urgent reservations can be accepted but are subject to special payment conditions and availability of the required services (see specific paragraph). BOOKING For single travel service, Smart Travel OÜ will revert with the booking confirmation within 72 working hours (weekends and Estonian public holidays excluded). Booking details will be sent latest 5 working days after the booking request. The above procedure can be longer in case of booking request from groups. Vouchers and documents will be sent to the customer after the balance payment is done. For package tour, Smart Travel OÜ will revert with the booking confirmation within 7 working days (weekends and holidays excluded). Booking details will be sent latest 10 working days after the booking request. The above procedure can be longer in case of booking request from groups. Vouchers and documents will be sent to the customer after the balance payment is done. If any of the required services (travel services or packages) are unavailable at the time of booking, Smart Travel OÜ will put all efforts to offer an alternative solution, nevertheless Smart Travel OÜ retains the right to change the conditions of use of its existing travel services unilaterally and at any time. In case of single travel service or package tour for groups, we must receive, at least 30 days prior to the start of the travel service or of the tour , a detailed rooming list including exact arrival and departure time. CANCELLATION & CHANGES All updates/changes of bookings and cancellations must be done in written form. Cancellation and/or update must be confirmed back to you by Smart Travel OÜ. If you have not received a confirmation of the cancellation an/or update within 48 hours after notification (weekend and Estonian public holidays excluded), it means that Smart Travel OÜ has not received it and you must inform Smart Travel OÜ once again. In case of update of confirmed booking, Smart Travel OÜ reserves the right to charge an extra fee. For cancellation, please refer to the below paragraphs. Booking changes and/or cancellations notified directly by the customer to any of the tourist operator (Hotel, restaurant etc) will not be effective. CANCELLATION OF SINGLE TRAVEL SERVICE FOR FIT/INDIVIDUAL Cancellation notified up to 15 working days prior to arrival is free of charge and customer is entitled to the full reimbursement except the case where a deposit has been required (deposit is required as a guarantee and is not reimbursed) and except in the case where Smart Travel OÜ did not receive a refund from their service supplier. In case of cancellation notified less than 15 working days prior to arrival and/or in case of “no-show”, the customer is not entitled to any refund. The effective date from which the days to arrival will be counted is the day when Smart Travel OÜ has been notified of the cancellation in written form. CANCELLATION OF SINGLE TRAVEL SERVICE FOR GROUP Cancellation notified up to 45 working days prior to the start of the service is free of charge and customer is entitled to the full reimbursement except the case where a down-payment has been required. Down-payment is required as a guarantee and is never reimbursed. Cancellation notified less than 45 days prior to the start of the service is subject to the following cancellation fee/refund: -Cancellation done between 44 to 35 working days : cancellation fee 50% of total booking value (Refund 50%) -Cancellation done between 34 to 25 working days : cancellation fee 70% of total booking value (Refund 30%) -Cancellation done between 24 to20 working days : cancellation fee 90% of total booking value (Refund 10%) -Cancellation done less than 20 working days and “no-show” : cancellation fee 100% of total booking value (NO refund) The effective date from which the days to arrival will be counted is the day when Smart Travel OÜ has been notified of the cancellation in written form. Changes of dates and reduction of the size of the group are considered as being cancellations, unless Otherwise agreed in written form. CANCELLATION OF PACKAGE TOUR FOR FIT/INDIVIDUAL Cancellation notified up to 45 working days prior to the start of the service is free of charge and customer is entitled to the full reimbursement except the case where a down-payment has been required. Down-payment is required as a guarantee and is never reimbursed. Cancellation notified less than 45 working days prior to the start of the tour is subject to the following refund: -Cancellation done between 44-30 working days prior the start of the tour: 50% refund -Cancellation done between 29-25 working days prior the start of the tour: 30% refund -Cancellation done between 24-20 working days prior the start of the tour: 10% refund -Cancellation done between less than 20 working days prior the start of the tour: no refund The effective date from which the days to arrival will be counted is the day when Smart Travel OÜ has been notified of the cancellation in written form. PAYMENT POLICY As indicated in tourradar a down-payment is required at the time of booking and thebalance payment is required 45 days prior to the start of the services. PRICES All prices are net and include all taxes (except city tax if required). Visa (if needed), insurances, flights and any other expenses/costs not specified in the offer must be paid, separately, by the customer (Smart Travel OÜ does not provide these services). Prices can be subject to variation without prior notice when events/reasons occur beyond Smart Travel OÜ's control. CURRENCY Smart Travel OÜ's official prices are given in Euro. Currency exchange rates published in the webpage are under TourRadar's control. RATING OF ACCOMMODATION FACILITIES The rating (stars or „class” levels) are defined by local and official competent authorities. Smart Travel OÜ reminds the customer that the criteria of rating assessment might vary from country to country, therefore Smart Travel OÜ bears no responsibility linked to customer’s quality complaints. FORCE MAJEURE Smart Travel OÜ bears no responsibility and liability in case of loss, strikes, accident, delay, sickness, acts of God, riot, war, fire, floods or other force majeure or other factors beyond Smart Travel’s control. HOTEL OVERBOOKING In the very unlikely case that the hotel cannot provide the booked accommodation, the hotel’s responsibility is to find an alternative or at least a similar solution. Smart Travel OÜ shall have no liability in respect of any other costs, losses or damages arising out of or in connection with relocation of accommodation since such relocation is beyond the control of Smart Travel OÜ. TRAVEL DOCUMENTS Passport or ID card (depending on traveller’s country of origin), visa (if needed), health and travel insurance (including cancellation insurance) are at customer’s responsibility and costs. Smart Travel OÜ higly recommends the customer to get the necessary insurances (health, travel, cancellation etc. ) before starting the trip. RESPONSIBILITY The customer confirms that he or she is at least 18 years old, has the legal authority to enter this agreement and all the information supplied are accurate and true. By making a booking to Smart Travel OÜ the customer understands and accepts all terms and conditions stated above.
